‌UCSF Community,

‌‌On Sunday, May 11, UCSF and UCSF Health will take an important step forward with the launch of MyTime, our new timekeeping and scheduling platform. This is more than a systems upgrade: it’s a milestone in our shared commitment to building a more unified, efficient, and responsive organization.

‌Designed to simplify how we manage time and schedules across our campuses and clinical settings, MyTime will support a more seamless experience for all employees.

What You Need To Do

‌For Biweekly Employees (Hourly and Exempt)

  • Beginning Sunday, May 11, access MyTime via MyAccess or CareLinks.
  • Review step-by-step instructions to log in and get started using MyTime.
  • Hourly (non-exempt) employees: Clock in and out for shifts and meals for the pay period starting May 11.
  • All biweekly employees: Use MyTime to view your schedule, submit time-off requests, and review timecards.

‌Monthly Employees

  • You will begin using MyTime with the June pay period.
  • For now, continue tracking time in HBS through the end of the May cycle.
  • Review your checklist for monthly employees to prepare.

‌Note: BCH Oakland employees will transition to MyTime later this summer.

MyTime Support Resources

Several resources are available to help you navigate this transition:

‌All Employees

  • Explore training materials and step-by-step job aids to guide you through new procedures, all available on the MyTime web site.
  • If you have questions:
    • Work with your manager or supervisor first. If you are unable to reach a solution, your manager will help escalate the issue to the appropriate channel.
    • Your department’s Change Agents may also be able to assist.

‌Managers, Timekeepers, and Schedulers

Thank you for your continued preparation, adaptability, and engagement throughout this transition. Your partnership is helping build a stronger, more connected UCSF—one that’s better equipped to advance our mission of providing exceptional patient care, fostering groundbreaking research, and educating the next generation of healthcare leaders.

Sincerely,
